Overview
As an Off-Air Representative, you are responsible for reviewing and managing Off-Air requests submitted by staff and students at your institution.
You decide whether requests should be approved, declined or put on hold before they are sent to Learning on Screen.

How to view requests
- Go to https://learningonscreen.ac.uk/off-air/rep.php and log in to your Learning on Screen account
- You will see a list of requests submitted by users at your institution

How to manage a request
You can filter requests by status:
- Requested – new requests awaiting your decision
- On hold – requests you are reviewing
- Ordered – requests you have approved
- Declined – requests you have not approved
- Received by Learning on Screen – being processed
- Sent – completed and available
- Cancelled – not fulfilled or withdrawn
Approving or declining a request:
- Select a request to view full details
- Review the programme information and request details
- Choose an action:
- Approve (place order)
- Put on hold
- Decline
Once you take action, the requester will be notified by email.
When should I use each option?
Approve (place order)
Use this when the request supports teaching, learning or research and you want to proceed.
Put on hold
Use this if you need more time to decide, for example:
- You’re checking if the programme is already available elsewhere
- You’re prioritising requests within your annual quota
- You need more information from the requester
Decline
Use this if:
- The content isn’t relevant
- The programme is already available through other resources
- You need to prioritise other requests
Additional request details
Each request includes:
- Requestor name and role (e.g. student, teaching staff)
- Programme details (title, channel, broadcast date)
- Additional information provided by the requester
You can also:
- Add a message to explain your decision
- Include notes for Learning on Screen if needed
Re-opening a request
If you previously declined a request but want to change your decision:
- Filter to declined requests
- Open the request
- Select “Reopen order”
- Choose a new action
Saving or updating requests
- You can update requests before they are processed
- Once a request has been received by Learning on Screen, it can no longer be changed via the system
Things to keep in mind
- Each institution has a limited number of requests per year
- Requests should be prioritised based on teaching and research needs
- Not all requests can be fulfilled, depending on archive availability
